What’s the key to managing your time?

Lisa was a renowned management consultant. She was known for her exceptional problem-solving skills and ability to bring clarity to complex organizational challenges.

A struggling company reached out to Lisa in desperate need of her expertise. The CEO, John, explained the numerous issues plaguing their company: missed deadlines, overwhelmed employees, and a general sense of chaos. He hoped that Lisa could help them regain control.

Lisa dove headfirst into the company’s operations, spending days analyzing workflows, interviewing employees, and assessing their systems. She soon realized that one of the core problems was a lack of effective priority management. The company was overwhelmed with the tyranny of the urgent. They were trapped in a whirlwind of urgent but relatively insignificant tasks, neglecting the truly important ones.

To convey this critical lesson, Lisa decided to use a powerful analogy during her final briefing to the leadership team. As she stood before them, she held up a glass jar and a bag filled with rocks, pebbles and sand.

She began by pouring the sand into the jar, filling it up to the brim. The sand represented the never-ending stream of small and seemingly urgent tasks that constantly consumed their time and attention. The leadership team nodded, recognizing the familiar feeling of being buried in insignificant details.

Next, Lisa poured the pebbles into the jar, allowing them to settle into the grains of sand. The pebbles symbolized the important but not urgent tasks that often got overshadowed by the relentless flow of daily demands. The team started to realize the significance of these tasks and how they had been neglecting them.

Finally, Lisa picked up the bag of big rocks and gently placed them one by one into the jar. As the large rocks settled into the space left by the sand and pebbles, the jar began to fill up, seemingly defying its capacity. These big rocks represented the most crucial tasks and strategic initiatives that the company needed to prioritize for long-term success.

With a knowing smile, Lisa addressed the team, “The lesson here is clear: if you want to fit the big rocks into the jar, you must put them in first. Only by consciously identifying and prioritizing the most important tasks can you create a solid foundation for growth and success. Then, you can address the pebbles and sand without compromising your core objectives.”

The room fell silent as the team absorbed the message. They realized the need to shift their focus and embrace strategic prioritization. Inspired by Lisa’s analogy, they set about to redefine their approach to time management by managing their priorities to ensure that the big rocks received their due attention.

Armed with a newfound understanding of the importance of prioritization, the company began to intentionally focus on what mattered and putting the big rocks in first. They worked to align their efforts, improve productivity and ultimately achieve their goals.

So, how do you do that? Here are some strategies that can help:

  • Have a clear vision of what you want to achieve. Start by clearly defining your team goals and objectives with specific times to be achieved. It allows you to identify and prioritize tasks that align with those goals.
  • Assess the importance of each task. Prioritize tasks based on their significance and impact on your goals. Focus on high-priority items first.
  • Allocate specific blocks of time for different tasks. Set aside dedicated time for important projects, daily tasks, personal growth, and relaxation. By assigning time blocks, you create structure and protect your time from being consumed by less important distractions.
  • Understand that you can’t do everything and be everywhere at once. Learn to say no to non-essential tasks or commitments that don’t align with your priorities. Saying no allows you to protect your time for what truly matters.
  • Recognize when tasks can be delegated. Delegating tasks to capable team members or outsourcing can free up your time to focus on high-impact activities that only you can do.
  • Schedule a set time each week to assess your priorities and evaluate how effectively you’re managing them. Be willing to adjust and adapt as circumstances and priorities evolve. Continuously review and refine your task list and schedule to ensure they align with your goals.
  • Remember, effective priority management is a continuous process that requires self-awareness, discipline, and flexibility. These strategies can help you better align your time with your priorities and achieve greater productivity, fulfillment and success.

The key is not to prioritize what’s on your schedule,
but to schedule your priorities.
